Hassle-free books: Zoho Books, automated bank imports, and reconciliation bots

For a series of SME clients we moved the books to Zoho Books, wired the bank accounts in so transactions import themselves, and put reconciliation bots on top — so the ledger is current every morning, the founder can see the position live, and month-end stops being an event.

The situation

The books of a typical growing SME are behind. Not by design — by arithmetic. Bank statements arrive monthly, someone keys them in, someone else matches them to invoices, and by the time the ledger reflects last month the current one is already three weeks old. Decisions are made on bank balance, because that is the only number that is ever current, and the P&L is a historical document produced under deadline for the tax return.

This pattern repeated across enough of our clients that we built a standard answer to it.

What we built

  • Zoho Books as the platform. Implemented per client — chart of accounts designed for their business and their GST profile, customer and vendor masters cleaned, opening balances agreed and locked. Where a client had no licence, hosted on the firm’s infrastructure.
  • Automated bank feeds. Every bank account and card connected, so transactions land in Zoho as they clear rather than when a statement is downloaded. For banks without a direct feed, a scheduled import from the bank’s export.
  • Reconciliation bots. Scripts and bots that match incoming transactions to open invoices, vendor bills, recurring expenses and payroll on amount, reference and date proximity — and post the match. What they cannot match with confidence is queued for a person, with the candidates already lined up.
  • A daily rhythm, a monthly lock. Exceptions cleared daily by the client’s staff or our team. At month-end the period is reviewed by a CA and locked, and the P&L, balance sheet and ageing reports go out on a fixed date.

What changed

The ledger became current. A founder can open Zoho on any morning and see receivables, payables and cash as they stand — not as they stood at the last statement. The month-end close stopped being a multi-week reconstruction and became a review of a ledger that was already reconciled. And because the same discipline runs across every client on this model, the firm’s supervision scales: we review exceptions and lock periods rather than key transactions.

Where it leads

Current, reconciled books are the precondition for everything else worth doing with numbers — dashboards, forecasts, a Virtual CFO cadence. This engagement is the foundation layer of our outsourced accounting retainer, and the reason our Virtual CFO clients get a board pack by the fifth of the month rather than the twenty-fifth.
